How long does it take to roll out finance software?
An accounting or reporting tool is productive in four to twelve weeks; an ERP change takes six to twelve months. What decides it is rarely the software, but the data migration and whether the processes were documented beforehand.
What does an implementation cost?
As a rule of thumb the implementation effort exceeds the first year's licence cost. Budget for the licence alone and you have planned too tightly – migration, interfaces, test runs and training make up the larger share.
Where should you start?
With gathering the requirements, not with picking a vendor. Look at demos first and you decide on the interface rather than on fit. Clarify which processes have to be covered and which systems need to connect – after that the choice is usually obvious.
What happens to the legacy data?
As a rule only what is needed on an ongoing basis gets migrated: open items, master data, the current financial year. The history stays in the old system or in an audit-proof archive – that is cheaper and meets the retention requirements just as well.
Do you need process documentation?
Yes. The German GoBD rules require it to be traceable how documents enter the system, are processed and are archived so they cannot be altered. In a system change this is not a formality but the basis on which a tax audit accepts the bookkeeping.
